These Terms & Conditions govern your use of our website and the terms of reservations and stays at The Rathbone Hotel Fitzrovia (“we”, “us”, “our”). By using rathbonehotel.co.uk and/or booking a stay with us, you agree to these Terms & Conditions.

1) Website Terms of Use
1.1 Content & changes. Information on rathbonehotel.co.uk is provided for general, personal and non-commercial use and may change without notice.
1.2 No reliance. We and our partners make no warranty (express or implied) as to accuracy, timeliness, performance, completeness or suitability of site content for any particular purpose. Content may contain errors; to the fullest extent permitted by law, we exclude liability for such errors.
1.3 Your responsibility. Use of information or materials on this site is at your own risk. It is your responsibility to ensure any products, services or information meet your requirements.
1.4 Intellectual property. The site, its design, layout, look, appearance, text and graphics are owned by or licensed to us and are protected by intellectual property laws. Except for personal, non-commercial use, reproduction or distribution is prohibited without our prior written consent.
1.5 Trademarks. All trademarks reproduced on the site that are not our property are acknowledged.
1.6 Links to other websites. Links are provided for convenience only and do not signify endorsement. We are not responsible for the content or availability of external sites.
1.7 Jurisdiction. Your use of the website and any dispute arising from such use is governed by the laws of England and Wales, and subject to the exclusive jurisdiction of their courts.
2) Booking Terms
2.1 Making a reservation. When you make a reservation (online, by phone or via a travel partner), you will receive a booking reference on screen and by email. Please keep this reference for any amendments or cancellations.
2.2 Rates & taxes. Unless stated otherwise, rates are quoted per room, per night, inclusive of VAT at the prevailing rate. If VAT or any applicable taxes change before your stay, we will adjust the rate accordingly. If any new city or local tax is mandated, it will be applied.
2.3 Payment, pre-authorisation & deposits.
A valid major credit/debit card (Visa, MasterCard, American Express) is required to guarantee your reservation. Cards that cannot be validated will result in cancellation.
On arrival we will pre-authorise your card or take a cash/debit deposit to cover room charges and incidentals. Additional pre-authorisation may be required if you wish to charge incidentals to your room.
For prepaid/non-refundable rates, the full amount is charged at booking. Please present the payment card and photo ID at check-in.
2.4 Cancellation & no-show (Flexible rates).
We operate a 24-hour cancellation policy. Cancellations made after 14:00 (2pm) UK time on the day prior to arrival, or failure to arrive, will incur a charge of one night per room to the card on file.
A unique cancellation reference will be issued; please retain it.
2.5 Prepaid / Non-refundable rates. For “Lowest Available/Advance Purchase” or other prepaid rates, bookings are non-refundable and non-amendable. Cancellation or change will forfeit all amounts paid.
2.6 Groups. When booking 5 rooms or more, different deposit, payment and cancellation terms apply (as set out in the group contract). Please contact reservations@rathbonehotel.co.uk.
2.7 Overbooking / inability to accommodate. In the unlikely event we cannot honour your room on arrival, we will arrange and pay for a single one-way transfer to a suitable local hotel and either: (i) settle your accommodation charges there if you prepaid us; or (ii) book you at the same confirmed rate if you have not prepaid (we will settle any difference directly with the other hotel).
2.8 Check-in / Check-out.
Check-in from 14:00. Check-out by 11:00.
Late departure is subject to availability and fees.
2.9 Age & identification. Guests must be 18+ to check in. We may request valid photo ID for security/fraud prevention.
2.10 Children & extra beds.
Children under 6 sharing a room with parents/carers stay free (existing bedding).
Children 6–17 requiring an extra bed are subject to a nightly extra-bed charge (subject to availability).
Cots (up to 2 years) are complimentary, subject to availability.
2.11 Meal plans. Unless stated otherwise, rates are room-only.
2.12 Third-party bookings. If you booked via a travel agent or online travel site, any amendments or cancellations should be made with that agent and are subject to their terms in addition to ours.
3) Hotel Policies
3.1 Guest conduct. Guests must not act in a way that may cause offence, danger or damage to any person or property, or that may bring the hotel into disrepute. We may refuse service or require a guest to leave without refund where reasonable.
3.2 Smoking & vaping. The hotel is 100% non-smoking. A cleaning/room out-of-service fee may be charged where evidence of smoking or vaping is found.
3.3 Pets & assistance dogs. We do not accept pets. Assistance/guide dogs are welcome in line with the Equality Act 2010 at a charge of £50 per night. A further cleaning fee will apply in the event of any damage to the property.
3.4 Damage, loss & charges. We reserve the right to charge for: (i) damage or breakages caused deliberately or recklessly; (ii) missing items; (iii) specialist cleaning; and/or (iv) loss of revenue where a room is unusable. By providing card details, you authorise such charges. We will notify you of any post-departure charges as soon as reasonably practicable.
3.5 Lost property. Items left behind are kept for 3 months from the departure date and can be returned at your cost. Perishable items are disposed of. We accept no liability for loss unless caused by our negligence.
3.6 CCTV & security. CCTV operates in public areas for the safety of guests and staff. Footage is processed in accordance with our Privacy Notice.
4) Liability
4.1 Website. The website is provided “as is”. We do not warrant that it will be error-free or uninterrupted. You are responsible for ensuring that any services or information meet your needs.
4.2 Pricing & description errors. While we endeavour to ensure accuracy, we may correct manifest errors in pricing or descriptions and will offer the choice to cancel without charge or confirm at the correct rate.
4.3 Force majeure. We are not liable for failure or delay arising from events beyond our reasonable control (including but not limited to acts of God, utility failure, fire, flood, epidemic, strike, government action or interruption of transport).
5) Privacy & Cookies
We process personal data as a Data Controller under UK GDPR and the Data Protection Act 2018. Please read our Privacy Notice and Cookie Policy (linked in the website footer) for details on what we collect, why we collect it, lawful bases, retention, your rights, and how to contact our data lead.
6) Complaints
We take our guest’s satisfaction very seriously. Any complaint or comment regarding a stay at our hotel should be made in the first instance to the hotel’s Duty Manager at the time of your stay so that we can attempt to resolve it immediately.
Problems which cannot be resolved to your satisfaction there and then should be escalated to our Hotel Manager by email on lucia@rathbonehotel.co.uk.
7) General Notices
7.1 The Rathbone Hotel and its agents are not infallible, and errors and/or omissions may sometimes occur. Therefore, The Rathbone Hotel disclaims any warranty of any kind, whether express or implied, as to any matter whatsoever relating to this website and any links thereto and therefrom, including, without limitation, as to the merchantability, non-infringement of intellectual property, or fitness for any particular purpose.
7.2 The Rathbone Hotel does not warrant the accuracy, currency or completeness of the contents, including, without limitation, any information relating to prices or availability.
7.3 The Rathbone Hotel will from time to time revise the contents and/or the products, services and resources described therein and reserves the right to make such changes without any obligation to notify past, current or prospective visitors of this web site.
7.4 Entire agreement. These Terms & Conditions, together with your booking confirmation and any rate-specific terms, constitute the entire agreement between you and us regarding your stay. Your statutory rights are not affected.
